Step two

Set the rules before it says a word.

No call flow builder. No tree with forty branches. Eight things, in your words.

01 Name and voice

What it is called and how it sounds.

  • It answers as your shop, not as us.
  • Temperament: unflappable, cheerful, or politely relentless.
  • It says it is an AI in the first sentence, every time.

02 Hours

When you are open, and what after hours means.

  • Standard: 7:00a to 5:00p, Monday to Friday.
  • After hours: emergencies only.
  • Everything else gets a slot in the morning, not a voicemail.

03 What it may book

And what it must never book.

  • Books: service calls, estimates, repeat customers.
  • Never books: mobile homes, commercial roofs, anything you do not do.
  • It says no cleanly instead of booking a job you cancel Monday.

04 Service area

Where you go, and what happens past the line.

  • Drawn by zip, not by a circle on a map.
  • Past Route 9: it says the $95 trip charge before it books.
  • Outside the area: it says so and offers to take a message.

05 Emergency

What counts, and where it goes.

  • Your words: water in the house, gas smell, no heat under 40.
  • It calls your cell with a nine second brief before you say hello.
  • No answer in twenty seconds: your second, then your third, then it books the soonest slot and keeps the customer.

06 What it must never say

Prices, unless you say otherwise.

  • The default is no number, ever.
  • It gives your range or it hands the caller to a person.
  • It does not guess, round, or estimate on your behalf.

07 A complaint, or a hot caller

It does not argue with your customer.

  • Warranty: it says the word out loud and flags the ticket.
  • Angry: it stays level, takes the detail, books the callback.
  • You get texted first, before the callback is confirmed.

08 Where the job lands

Your calendar, your phone, or paper.

  • Google Calendar, Outlook, a shared team calendar.
  • Or just a text, with the day's list at 6.
  • Running on paper is a real answer and it does not argue with you.

    Try to break it.

    Call it drunk on a Friday. Talk over it. Ask what it costs. Be rude. We would rather you did it than a customer.
